Duties Description POSITION DESCRIPTION:
The incumbent will be the Administrative Assistant 2 to the two DDPS4s for State Operations in Orange County and will be
responsible for a full range of activities, including but not limited to:
PRIMARY DUTIES AND RESPONSIBILITIES:
• Responsible for typing correspondence generated by the DDPS4s, which could be a written, audio, or verbal request
• Responsible for maintaining a calendar for the DDPS4s, ensuring that meetings are scheduled timely and that appropriate
personnel are notified
• Reviewing outgoing and incoming correspondence and reports to determine their significance
• Receive and prepare responses to letters, calls and visitors concerning program policies and inquiries
• Prepare reports using various programs, research background information, transmit instructions to staff, and conduct
follow-up
• Resolve day to day operational problems, coordinate information flow by acting as liaison among key executives, staff,
and the public
• Act as office manager, ensuring the smooth day to day operations of extremely busy office, ordering of office supplies,
scheduling of office equipment maintenance, etc.
• Complete TABS entries for Residential and Day Program
•
Serve as the administrative assistant for one or two residential teams
•
Supervision of other clerical staff
•
Other duties as assigned

Minimum Qualifications MINIMUM QUALIFICATIONS: Promotion: Candidate must be reachable on the current Civil Service list for Administrative Assistant 2 and have one year of service as an Administrative Assistant 1, Office Assistant 2-Keyboarding or Secretary 1. OR Transfer: Candidates must have one year of permanent competitive or 55-b/c status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

• Please note that starting salary for this title reflects the Mid-Hudson adjustment. Posted Hiring Salary includes the sum of the statutory hiring rate for Grade 15 ($59,787) and Mid-Hudson Adjustment ($2,000). Mid-Hudson Adjustment is added to the job rate ($72,429).
• If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.
