Duties Description The Office for People with Developmental Disabilities (OPWDD) Division of Fiscal Policy and Management is seeking an Office Assistant 3 in the Fleet Management Unit. Job duties include but are not limited to:

• Supervise one or more Office Assistants and serve as their backup.
o Act as backup for monitoring main phone line, physical mail and shared mailbox.
o Act as backup for Motor Pool administration, which includes but is not limited to, occasional local driving for repositioning vehicles and maintenance appointments.
o Act as backup for ticket and violations tracking and processing, with a high degree of accuracy.
o Act as backup for filing and other office duties as needed.
• Handle all motor vehicle accident processing.
o Review and process MVA-related documents for submission to the Office of General Services, or other entities, with a high degree of accuracy.
o Monitor and respond to emails from transportation coordination staff and other internal/external sources within required timeframes.
o Update and manage spreadsheets, folders, and all documentation for accidents and incidents, with a high degree of accuracy.
o Act as point of contact and coordinate with OGS, transportation coordination staff, and other third parties as needed.
o Send frequent periodic follow up correspondence to ensure MVA documentation is received in a timely manner.
o Triage and answer questions from various parties via email, letter, and phone.
• Handle all surplus vehicle processing.
o Review and process paperwork for vehicles which are being disposed; referred to as “surplus."
o Follow up with transportation coordination staff as required.
o Document and coordinate the collection, submission, and drop-off of paperwork to OGS.
o Document and coordinate the collection, submission, and drop-off of license plates to DMV.
o Order replacement documents as needed.
o Update required systems as needed, with a high degree of accuracy.

Minimum Qualifications Candidates must be reachable for appointment on Current Civil Service Eligible List for this title.
OR
Candidates must have one year of permanent competitive or 55-b/c status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

PREFERRED QUALIFICATION:
Possession of a valid driver's license to operate a motor vehicle in New York State
